Exclusive Exhibit Hall Hours:
* Special hours have been set aside on each of these days exclusively for
the Exhibit Hall Grand Opening and viewing of exhibits. No other ACA program
activities will take place during these times so that exhibitors will be center
stage. Please see Insert 4 for the Exhibit Hall Floor Plan.
Reserving Exhibit Space
The Exhibit Show will take place at the Phoenix Civic Plaza from January 10-11, 2005. You may select your preferred booths using the Exhibit Hall Floor Plan (Insert 4) in this brochure. Please note that the booth rental fee is contingent upon the location of the booth within the Exhibit Hall. Complete and sign the Booth Reservation Contract, also enclosed in this brochure (Insert 1). Send it to the American Correctional Association, 4380 Forbes Boulevard, Lanham, MD, 20706-4322, with a deposit of $599 for each 100-square-foot area (10’ x 10’ booth) reserved. ACA will send a letter acknowledging receipt of your deposit. A copy of the Booth Reservation Contract, with booth space confirmed by ACA, will be returned to you upon booth assignments. The booth rental fee less the nonrefundable deposit will be invoiced and is due upon receipt. The deposit is not refundable and nontransferable.
However, should it become necessary to cancel the reservation, the booth rental fee less the nonrefundable deposit will be refunded upon written request received on or before November 3, 2004. After November 3, 2004, no refunds will be made nor will previously paid monies be applied to any future ACA exhibit shows or other marketing areas. Additionally, these monies cannot be applied to offset another company’s booth rental fee. The $145 Virtual Exhibit Hall Floor Plan fee is nonrefundable and nontransferable after November 3, 2004. Exhibitors applying after the November 3, 2004, cut-off date must submit the full booth rental fee, none of which is refundable, with their applications. Exhibit booths are not transferable and cannot be sold, rented, or given gratis to another company by the original contracting company. All exhibitors reserving display space on or before November 3, 2004, will be given a one-line listing in the official 2005 Winter Conference Program Book and Exhibit Guide. It is recommended that exhibitors contract for additional promotional space using the Advertising Contract (Insert 6) in this brochure. An advertisement in the Program Book will help lead attendees to your company's booth.
Registration/Setup Rules
Each exhibiting company is allotted two complimentary Conference Registrations, which permit entrance to all Conference workshops and non-ticketed functions. Special badges permitting access to the exhibit hall only are also available for other company personnel. Usage is limited to individuals directly employed as staff of your company.
The Association strongly suggests that arrangements for additional badges be made well in advance of the show. All registration materials and identification badges must be obtained at the Exhibitor Registration Desk in the ACA Conference Registration Area of the Phoenix Civic Plaza. Exhibitors who have not had badges prepared in advance will most likely experience some delay in registering.
Show management requires that at least one representative from each exhibiting company check in at the Exhibitor Registration Desk and set up his/her booth(s) during the times provided on Saturday and Sunday, January 8-9, 2005. If this is not possible, alternative arrangements must be made with ACA at least two weeks in advance of the specified setup days.
Please note: Exhibitors who do not complete setup of their booth(s) before 5:00 p.m. on Sunday, January 9, 2005, automatically forfeit their exhibit space(s) unless previous arrangements have been made with ACA’s Exhibits Manager. The disposition of the booth will then be entirely at the discretion of ACA. No refunds will be granted, nor will previously paid monies be applied to future shows or other marketing areas. No exceptions will be made.

September 13, 2005—Exhibitor Service Kits will be mailed to confirmed
exhibitors.
November 3, 2005—Cancellation deadline. Prior to November 3, 2004,
the booth reservation fee, less the nonrefundable deposit of $599, will be
refunded upon written request. After November 4, 2003, no refunds will be
made, including the $145 Virtual Exhibit Hall Floor Plan fee.
Please Note: All exhibitors who have reserved display space and have paid
for that space in full on or before November 3, 2004, will receive a one-line
listing in the 2005 Winter Conference Program Book and Exhibit Guide.
November 3, 2004—Advertising space deadline for the 2004 Winter Conference
Program Book and Exhibit Guide. Call (800) 222-5646, ext. 1922, to receive
additional information.
November 12, 2004—Materials close/copy deadline for the 2005 Winter
Conference Program Book and Exhibit Guide advertisers.
December 17, 2005—Deadline for ordering additional decorations and
services at pre-show prices from the Geo. E. Fern, Co., the official 2005
Conference decorator. See page 6 for details.
January 9, 2005— Exhibits must be completely set up by 5:00 p.m. Exhibitors who do not complete setup of their booths within this time frame automatically forfeit their exhibit space(s) unless previous arrangements have been made with ACA’s exhibits manager.
January 11, 2005—Exhibit Hall final closing at 5:00 p.m. No booth is
to be dismantled before 4:00 p.m. Any exhibitor who begins teardown prior
to this time will jeopardize participation in future shows. Exhibit materials
must be completely removed from the Exhibit Hall by 10:00 p.m., January 11,
2005.
