Trainer Policies
Thank you very much for your continued support of ACA. We strive to meet your training needs in the most cost-effective way as possible. These policies are designed to help us provide training materials at the lowest cost possible and provide an excellent level of customer service to every student.

Course Training Hours

The equivalent training hours for the courses are the number of hours necessary to teach the courses in a workshop ("live training"). The exception is the print version of the Online Corrections Academy courses. In this case, the hours are the same as the online version and determined by a required elearning formula. For information about Continuing Education Units (CEUs) and College Credits, please review those sections:

  • Continuing Earn Units (CEUs)
  • College Credits

Mandatory Training Deadlines

If students need test results for a deadline, such as mandatory training, the exams should be submitted two months prior to the deadline. If students or trainers have a special concern about a deadline, they should contact the Test Grading Staff at 1-800-222-5646, or courses@aca.org.

Completing Exams

Independent Study
ACA’s courses are designed to be taken individually for both educational and legal reasons. You should be able to show that you have successfully completed the course on your own and mastered the material. By working with another student, you will not be able to do so. Your facility also will not be able to provide documentation that you mastered the course content. Finally, working with another student on an exam is considered unprofessional and a breach of ethical conduct.

We recommend that students study with each other in pairs or groups. Then, they should take the exam on their own without any assistance from another individual.

Note: ACA contacts the facility trainer or administration when students have the same answers on an exam. This action is both a legal and ethical obligation.

Identifying Information
Please ensure that students provide all the required information on their test answer sheet or Scantron ® card. If certificates are to be sent to a trainer, be sure that the student provides the name and title of the trainer as well as the name, address, and phone number of the facility. Providing an email address also is helpful.

Note: The home or cell phone number required for the Scantron® card is for administrative purposes only and will be kept confidential.

Processing Exams

Final Exam Original
We accept only original copies of exams. Exams may not be copied and mailed to us or faxed to us.

Final Exam Results
Please allow a minimum of 2 weeks to process exams—from the time we receive them. Tests are dated and processed from the time we receive them. We recommend that students (or their trainer) keep a copy of their exam or Scantron® card in case it is lost in the mail.

Note: If students put the same phone number on their Scantron® cards, it will significantly delay the processing time because they will have to be graded by hand.

Final Exam Retakes
To enable us to meet our educational standards and maintain our institutional integrity, students must retake the entire exam. Students who do not pass their exam may purchase a new one at a reduced cost. Students should keep their course books until they successfully complete the course because they will need the books to study for the exam.
