Hotel Reservation Information

Attendees of the American Correctional Association’s 136th Congress of Correction in Charlotte, North Carolina can make their hotel reservations online, by fax or mail no later than Wednesday, July 12, 2006. To make your hotel reservations by mail or fax, detach the Hotel Reservation Request Form (on page 24) and follow the applicable instructions, or log on to our web site at

ACA has secured blocks of rooms for Congress participants at the hotels listed on page 23. To ensure availability and the ACA group rates, reservations must be received by the Visit Charlotte Housing Bureau no later than Wednesday, July 12, 2006. After that date, rooms may not be available at the ACA Congress rate. You are strongly encouraged to make your room reservations early. Rooms will be assigned on a first-come, first-served basis as the Visit Charlotte Housing Bureau receives them. Reservations will not be accepted directly by the individual hotels.

A $125 guarantee per room is required to make a room reservation. The guarantee amount is payable by credit card or check (by mail only). Requests received without a valid guarantee will be returned and will not be processed. Credit cards must be valid through August 2006 in order to be considered a proper guarantee. If paying by check (by mail only), make payable to Visit Charlotte Housing Bureau in U.S. funds drawn on a U. S. Bank. Please allow five (5) business days to process your hotel reservations when guaranteeing by check. Online reservations will be acknowledged the same business day as received. Faxed and mailed reservations will be acknowledged within three (3) business days of receipt. Confirmations will not be received from the individual hotel where your reservations have been made.

When mailing or faxing reservations, use one form per room, regardless of the number of guests staying in the room. Be sure to indicate the names of all persons staying in the room. If arrival/departure dates differ for the guests within room, include the information on a separate sheet. If you are requesting more than one room, the names of the occupants in each room must be provided on separate forms. NOTE: MULTIPLE RESERVATIONS IN THE SAME NAME WILL NOT BE ACCEPTED.

All reservation changes or cancellations made on or before 5:00 p.m. (EST) July 12, 2006, must be made to the Visit Charlotte Housing Bureau via e-mail, fax, or mail. E-mail changes or cancellations should be made using the following dedicated e-mail address – The Visit Charlotte Housing Bureau and the individual hotels will NOT be accepting changes or cancellations from July 24 through July 26, 2006. Guaranteed reservations will be charged a $25.00 cancellation fee, if the reservation is cancelled at any time after 5:00 p.m. (EST) on July 24, 2006. CANCELLATIONS MADE LESS THAN 72 HOURS PRIOR TO THE SCHEDULED ARRIVAL DATE WILL FORFEIT THE ROOM GUARANTEE OF $125 PER ROOM FOR THE WESTIN AND HILTON CENTER CITY. ALL OTHER PROPERTIES WILL HONOR A 48 HOUR CANCELLATION. (If the deposit was made with a check, that amount will be forfeited. If the deposit was guaranteed by credit card, the card will automatically be charged $125.) Any changes or cancellations beginning July 27, 2006, must be directed to your confirmed hotel.
